Supplier matching & quote coordination
Amethyst infrared mat procurement services
Start with one controlled brief for the mat, controller and included accessories. We help structure enquiries so each candidate can respond to the same requested construction, quantity basis and delivery scope. This reduces ambiguity when a proposal changes a size, layer or component.
Our role covers requirement organization, candidate contact and quote comparison. The factory must identify its proposed product. You retain final approval of specifications, documents, budget and supplier selection.
Specify what a supplier must answer
A short product name leaves important scope undecided. The handoff below distinguishes what you request from what the supplier must confirm in writing. Unknown dimensions, operating limits or included accessories remain questions; we do not fill them using another product's brochure.
| Requirement | Buyer input | Supplier confirmation |
|---|---|---|
| Product | Intended channel, usable length and width in in or cm, surface and insert requirements. | Exact proposed model, layer construction and measured dimensions. |
| Controls | Requested heating adjustment, controller format and destination power needs. | Rated voltage in V, power in W, control limits, warnings and included plug. |
| Order | Quantity in pieces or defined sets, separated by variant and US destination. | MOQ by configuration, carton count, accessory scope and delivery exclusions. |
| Approval | Sample goals, required label and documents, requested decision date. | Sample proposal, document revision and any deviations needing approval. |
Use an optional budget to explain priorities, with currency and per-unit or whole-order basis. A budget-focused request may allow simpler packaging; a higher-service request may prioritize document coordination or customization. Ask for each alternative explicitly instead of treating a lower subtotal as an equivalent offer.
Keep the evidence chain attached to the quote
| Evidence layer | Status to record | Owner |
|---|---|---|
| Buyer brief | Requested dimensions, pack and delivery location supplied; omissions marked open. | Buyer |
| Public reference | Used to frame questions, with no transfer of a reference model's capabilities. | Procurement reviewer |
| Quoted model | Pending exact-model construction, controller, label and document confirmation. | Supplier |
| Decision record | Approved revision, accepted alternatives and unresolved risks documented. | Buyer or appointed specialist |
A useful sample request identifies what must be inspected: dimensions, layer description, control operation, pack contents and instructions. Record observations against the quotation revision and return deviations to the supplier. Technical testing or a regulatory opinion requires an appropriately qualified party; procurement coordination cannot substitute for either.
Freight, duties, testing and replacement parts should be compared only when their scope is stated. A missing charge is not a zero charge. Review the procurement brief for a practical quotation comparison method, then use Spec Review to list approval questions.
